Responsibilities:
- Support multiple lawyers by managing critical administrative tasks and major assignments that enable attorneys to focus on client-facing and strategic responsibilities.
- Delegate administrative and document work to internal support teams while tracking all projects to completion.
- Coordinate and manage complex Outlook calendars, schedule meetings, and resolve conflicts across time zones.
- Plan and book detailed travel itineraries, ensuring alignment with attorney schedules and client demands.
- Draft letters, reports, and confidential correspondence; compile and prepare agendas and presentations.
- Participate in and coordinate logistics for internal meetings, client team meetings, and department events.
- Maintain and organize paper and digital files in compliance with Information Governance policies.
- Handle sensitive and confidential information with discretion and professionalism.
- Support litigation-related administrative functions, including electronic court filings in state and federal courts.
- Oversee all aspects of billing for assigned attorneys, including prebills, international billing coordination, collections communications, and client budget monitoring.
- Foster strong internal and external relationships and contribute to practice team success through proactive communication and problem-solving.
Requirements:
- A minimum of 5 years of professional executive administrative experience, ideally supporting partners or executives in a legal or corporate environment
- Must have recent litigation experience, including e-filing in both district and state courts.
- Advanced proficiency in Microsoft Excel, Word, and PowerPoint
- Excellent communication and interpersonal skills, with the ability to interact with lawyers, clients, and business professionals
- Exceptional organizational and time management skills to handle multiple priorities effectively
- A strong work ethic, flexibility, and a positive, dependable attitude
- Proven ability to maintain confidentiality and exercise professional judgment
Education:
- Required: High School Diploma or GED
- Preferred: Bachelor’s Degree
