Responsibilities:
Assists or leads opening of new offices or relocation of office space. Supports local management regarding moves by providing input, recommending and documenting processes and improving Operations support quality.
Works with management to develop effective and efficient Operations functions and services by gathering information, observing, discussing, documenting current processes and analyzing same, and proposing efficient and cost effective solutions to improve, standardize and/or streamline functions.
Works with external vendors to procure such things as office supplies, maintenance, printed stationery, outsourced services by developing an RFP using gathered information. Analyzes results and negotiates best financial and service outcomes on behalf of the Firm.
Reviews contracts for appropriate language, terms and services and coordinates attorney review of same.
Coordinates, develops and communicates roll out of services, such as vending, shipping, maintenance and any other relevant programs or upgrades of services by developing plan and timeline. Coordinates all relevant internal and external resources, traveling to site(s) and communicating information and process to those who are affected by the roll out.
Assists with or leads opening new offices as assigned. Leading includes being coordinator of all departments on team for successful office opening by developing plan and timeline, coordinating all relevant internal and external resources, traveling to site and communicating information and process to the "open office" team and the new office members.
Functions as liaison with IT for any Operations projects including name change rollouts, vendor technology requirements and e-billing by communicating scope of project(s), coordinating resources and communicating progression to appropriate IT members through successful completion of projects.
Manages and maintains Operation’s intranet (Fusion) pages by gathering and updating information on a regular basis.
Manages office moves (from one building to another) by procuring mover, developing and communicating move instructions, being on site for the move itself and after the move to provide additional support to the Office Administrator.
Other duties as assigned.
Requirements:
5 years operations and project management experience required.
Must have experience with contract negotiations and have advanced analytical skills.
Must have advanced skills in Excel.
Law firm, or professional services experience required
Education: Bachelor's Degree in Business Administration, Architecture, Construction Management or related field.
